 Spaces for hire

The possibility of staging corporate events in a unique, aesthetic and culturally significant space is a special privilege offered in Toledo. The Spanish Army Museum, located in an exclusive setting in the heart of the historic city centre, offers you the opportunity to hire a number of spaces at times restricted to private use for the purpose of holding cultural activities and other events: concerts, photographic shoots, press conferences and film sessions, filming, meetings, and presentations, among others, in accordance with the laws granting use of spaces.

Each of the available spaces stipulates an approximate maximum capacity. However, the maximum permitted capacity will be determined depending on the nature of the function or event to be held.

According to the provisions of the Ministerial Order regulating public visits to the Spanish Army Museum and fees and prices charged by it, the following rates have been set for the different spaces:

  • spaces in the temporary exhibitions hall, reception areas and non-exhibition covered areas.
  • outdoor spaces.
  • auditorium.
  • meeting rooms.
  • use of filming equipment.
  • conditions.

In order to expedite requests for the hire of Museum spaces, you will need to provide us with the following technical information when you contact us, as it is required to process your application: organising company, space required, date, duration and type of event

The Auditorium is the adequate space for holding events such as awards, courses and conferences, seminars, presentations, theater performances, concerts...

It has an area of 492 m2 with a capacity of 204 seats and has all kinds of audiovisual equipment to support the different types of acts to be carried out: simultaneous translation booths, public-address system and projection booth.

  (1)These rates are subject to a discount of 20% in the corresponding types through a specific agreement signed with those institutions that facilitate the achievement of the aims of the museum.

(*) Determining the type of activity:

a) First type: non-profit activities which purpose is not consistent with the purposes of the Army Museum.

b) Section two: non-profit activities which purpose is consistent with the purposes of the Army Museum. A discount of 40% in the rates established for the first type.

c) Section Three: activities with a commercial purpose. The fees will be increased by a 30% of the rates established for the first type. (**) Determination of duration: a) Full day: activities with a total duration longer than 5 hours.

b) Half day: activities whose duration is less than or equal to 5 hours.

c) Two hours: activities with a total duration less than or equal to 2 hours.

d) Additional hour; supplement charged for each hour or fraction that exceeds the agreed duration of the space used.

The Museum offers the possibility of conducting a wide range of events in the outdoor areas and external elements of the building: gardens (Angel 1,140 m²/600 people, high zone 1,207 m²/600 people, low zone 926 m²/600 people), groups’ yard (parking 1,460 m²/575 people, coffee bar 336 m²/575 people), north yard (2,234 m²/1,100 people) or the magnificent Parade Ground (2,207 m²/1,000 people), which are all architectural incomparable settings suitable for celebrations, outdoor shows and all kind of events.

Non-exhibition rooms

Located inside the administrative area of the Museum, the “Tercios Viejos” room is a perfect space to held high-level meetings. It has 80 m² distributed into two different rooms: the first one is provided with 11 seats around an oval conference table, and the second one with 40 seats arranged in rows.

(1) A 20% discount of these rates will be granted to the applicable sections by a signed specific agreement with those institutions which facilitate the achievement of the Museum goals.

(*) Establishment of the activity’s type: a) First Section: non-profit activities whose goal does not match the objectives of the Army Museum. b) Second Section: non-profit activities whose goal is in tune with the Army Museum objectives. The price reduction means a 40% discount of the first section rate. c) Third Section: commercial purpose activities. The price will be increased by a 30% of the first section rate.

For each additional group till 5 people, 200 €.

 Filming equipment

b) Sixth rate:

Hour or fraction of hour , 790 €.

This fee will be charged independently of the aforementioned rates except records or reports made by social media with the aim of offering general information to the public.

 

Conditions

Under no circumstances will the spaces subject to these rates be used during normal hours of work and visits to the Museum, except where their location means their use does not affect the normal operations of the institution. The temporary exhibition rooms may not be used for functions when there is an exhibition being held in them. Additionally, the use of the spaces subject to these rates is conditioned by the priorities set by the Spanish Army Museum so as not to interfere with its principal purpose of serving as a cultural institution.

The Spanish Army Museum will set out a contract stating the conditions for the use of spaces and any other aspect concerning their use with the aim of maintaining the state of conservation of its collections and installations, and in order to determine the expense connected to their use that is not included in the quoted rate, where applicable. The total amount payable will be expressly stated in the contract.

The Spanish Army Museum will establish a series of necessary requirements for the formalisation of the requested hire of spaces, which must be accepted by individual and corporate applicants:

  • Events must include a visit to the Museum exhibition spaces, or, at least, information regarding the Museum and its collections must be provided to persons attending those events.
  • Any events held in the permanent exhibition rooms must take place after Museum opening hours. Events requiring special installations may only take place on Mondays, the day the Museum is closed to the public.
  • Applicants will be responsible for providing any special independent lighting equipment they may require. Likewise, any installations (signage, etc.) will be at the applicant’s expense. Applicants must supply any personnel required for their events.
  • The hours of work required to set up for any events must be approved by the Museum management.
  • Any installations must be removed upon finishing the event, leaving the spaces in the same conditions as they were prior to the event. Where any events are held in entrance or transit areas of the permanent exhibition spaces, those areas must be in perfect condition for opening to the public the following day.
  • All rules established by the Museum for safety and, where applicable, preventive conservation must be adhered to. Any non-compliance will result in the event being cancelled.
  • Applicants must provide any extraordinary means of surveillance and security that may be needed in order for the event to be prepared and staged. The Museum will determine such needs, and users will agree to the services of security guards from the Museum’s security provider.
  • Any media present at events may record the images necessary for their diffusion, while adhering to the conditions set out by the Museum.
